Web conferencing has become a widely accepted technology in most businesses yet many law firms find themselves late to introduce web meetings and webinars to their user community. With a wide variety of options available and a user community that can be resistant to adopting new technology, selecting a web conferencing service that is easy to use, affordable and supportable can be a daunting task for many information technology professionals in law firms.

Although it is tempting to compare web conferencing services side by side by looking at available feature sets, there are some key decision filters that will increase the satisfaction level and adoption of web conferencing in the firm.

Get past the firewall

Marketing departments in a firm use web conferencing to highlight the expertise of their attorneys, to offer CLE classes, or to hold virtual events. Any web conferencing service that requires a download to attend the event limits the ability for certain participants to join because of firewall restrictions. Select a web conferencing service where there is no requirement for a participant download to minimize issues joining the web call.

Works with Mac or PC

Although Macs are not the most prevalent technology in firms, many marketing departments use them consistently. Select a service that will work with a Mac or PC to create flexibility so that any call leader or participant can access web conferencing regardless of the operating system.

Integrate with audio

Many audio conferencing vendors integrate with market leading web services versus offering their own in-house web conferencing technology. Web and audio integration allow synchronized meetings and recordings and web conferencing help if the user selects *0 on the audio conference call. Web and audio integration offers the user a seamless conferencing experience.

Avoid feature creep

Survey web conferencing users and you will find that the vast majority of them use only a few features, especially for meetings, status conferences or document collaboration. Web conferencing can become quite complex and expensive if you purchase a service for the most sophisticated of your user community. Consider getting the standard version of a service for most of your meeting users and the event or professional version for those key users who will host events vs. meetings.

Offer multiple layers of support

Support for web conferencing should be a key consideration and should go well beyond the firm’s IT department. If web conferencing is purchased from an audio conferencing provider, users generally have access to multiple levels of support. The audio vendor will offer training on the service as well as help while on the audio conference call. Additionally, the major players such as Adobe, WebEx and Microsoft offer 24 X 7 online and live support at no additional charge.

Pricing Flexibility

Do not purchase any service unless you are allowed at least 30 days to “test drive” it. Consider services that offer both per minute pricing along with a subscription for unlimited usage. You can mix both pricing models within the firm avoiding an annual commitment until you have an established pattern of usage.

Web conferencing allow users to collaborate on documents, share information, execute depositions, train remote office personnel and promote the firm. Unlike most video conferencing solutions, web calls are executed right from the desktop on a PC or Mac at a fraction of the cost. Considering participant access, ease of use, support and flexibility will help ease the firm’s user community into a comfort level that can make the web conferencing experience an integral part of the firm’s communication strategy.

I don’t know about the rest of you, but this winter has been particularly unpleasant. Now, all of you northerners and Colorado people, I know you think all of us in the South are a bunch of sissies, but let me give you the facts.

I live in Atlanta and we RARELY get snow. When we do, all hell breaks loose. First, we have only a couple of snow plows, very little salt for the roads, and no real infrastructure to handle the weather. You get a few inches and life goes on in a matter of hours. We get the same thing and we could be marooned for days.

How can you predict when the snow is coming in the South? First, go check the grocery stores and you will find the bread aisle empty. We’re a group of sandwich eaters and when the power goes out, which it almost always does, you can still eat a peanut butter and jelly. Next, go check the hardware store. Portable heaters, those forever fire logs, and flashlights will also be in short supply.

Many of you know that Copper Conferencing has an office in Atlanta. If you call Customer Care, you would very likely get someone in this office. It’s a good thing we’re a virtual company. All of our phones are forwarded to our cells and our corporate phone system is in the cloud. All of our customer management tools also live in the cloud and our online customer portal that connects customers to their information never goes offline due to weather. I think we’re more than ready.

I can tell you that I hate the cold and I’ve had enough. My suitcases are packed, my tickets are ready and I’m off to St. Thomas and on to other islands where the coldest temperature is 80 degrees. Maybe by the time I get home it will have melted and I can bide my time until March rolls around.

I’ll send you blogs from the islands to warm you up. Hunker down Atlanta, snow and ice are on the way and my house is stocked with bread, fire logs, batteries, etc for those left behind!

Carolyn Bradfield

I’ve always believed that eating a balanced diet is the healthy way to go. Load up with McDonald’s cheeseburgers and you can count on saturating your arteries with a nice thick paste of plaque. Leave out milk, cheese and broccoli and your bones thin out. Most of you get the picture and have been taught this simple rule going way back to health class in elementary school.

I think the same is true in business. Years ago, I ran sales and marketing for Raindance Communications, a conferencing company in Denver that has long been absorbed into another conferencing empire. We executed the balanced diet approach to revenue generation, fielding a strong marketing effort, a direct sales force to focus on audio conferencing and one to focus on web conferencing, and a channel department. When one group underperformed, the other group came on strong and kept our revenue growing. That group was the channel.

I’m a little confused by other conferencing companies who had a balanced diet by investing in a channel sales strategy and then decided to go the way of McDonald’s, cutting back their balanced approach and leaving the channel behind. You see this to be true at most of the major channel events where agents gather to learn about vendors and their technology. InterCall, the largest conferencing provider, often doesn’t have a booth and sends one or two people just to walk the exhibit floor. They’ve cancelled agent contracts, pulled back resources and focused on their direct organization, only to achieve flat revenues.

Copper Conferencing still believes in a balanced diet, and revenue for us doesn’t grow unless we have a strong channel to help feed us accounts from the relationships that these independent agents have worked really hard to build. In fact, we intend to invest more in our channel.

Enter Jace Harris, a stand out Copper employee for the last three years. He excelled in our customer care position, was promoted to account management and has lead his team in managing customer relationships and expanding our presence in accounts. Jace joins the channel as a dedicated support professional to work directly with agents, manage their accounts AND grow revenue through expanded relationships.

When we come to the Channel Partners Show in Las Vegas this March, be prepared to be impressed. We’ve moved beyond conferencing and are launching a comprehensive marketing suite designed to be a one-stop shop to promote, organize, manage and deliver marketing campaigns. Our direct accounts will use this for webinar programs; however our channel group can use this technology to promote any product or service that they sell, whether it includes conferencing or not.

A single agent can access the Copper Marketing Suite, create a campaign, manage a targeted list and engineer an email and lead capture campaign without any special training or additional technology.

I think Copper Conferencing and its channel partners need to learn to work smarter and use the tools we are delivering to market more aggressively and more often. We’re investing in the channel by adding personnel in advance of anticipated demand as our channel partners ramp up for 2011.

Go ahead InterCall …… eat those cheeseburgers served up to you by your direct sales force at unhealthy margins and with poor relationships. I’m betting on our channel partners to deliver long-lasting productive account relationships. We’re investing at Copper, not holding back. You’ll see that in our personnel, products and our presence dedicated to the channel.

This fall, Copper Conferencing’s inside sales team participated in one of the most engaging sales contests I have ever held, the Copper Apprentice. The ROI Consultants and Copperheads battled it out in 4 challenges, faced me in the boardroom, and saw their numbers whittle down until the ultimate Copper Apprentice, Brent Palmer, was crowned.

Brent Palmer

As the Copper Apprentice, Brent gets the opportunity to be mentored by me and our major account team on sales trips through the rest of 2010. Today, we sit in the Delta Sky Club waiting to board our flight to Richmond, Virginia and Washington DC for 3 days of meetings. The key concept to understand in this contest is the word “apprentice”. Brent, like all of our young sales force, needs help in navigating an out of town trip and attending face-to-face appointments.

Traveling efficiently takes planning, effort and efficiency. My first rule of travel is to never check luggage so we lost the gym bag and got a rolling suitcase designed to fit in the overhead bin. Next, we made sure to organize our packing list so we would have the right kind of clothes with black as the key color so we wouldn’t have to pack extra shoes, belts, and socks.

Unlike an “apprentice,” business travelers also know to have the quart bag ready, to use travel size products, and to make sure that the plugs to power those electronic devices are not left at home. Brent needed some guidance with all of these things and did an excellent job in selecting his clothes with one exception – left the pants at home. Fortunately Kohl’s is around the corner and with discounts, it was easier to replace the pants than go home and get the ones that are still on the bed.

Navigating the airport is an exercise in efficiency if you know how to do it. Our boarding passes were printed, we hit the secret parking lot nobody knows about, breezed through the security line that is through a special door and made it to the Delta Sky Club in record time. This is when my Apprentice realized that all food and drinks are free, so I let him indulge in one Bloody Mary just for the experience.

We’re primed and ready for Richmond and Washington DC with almost 20 customer and prospect visits during the 3 days. Brent’s job is to listen, process and observe so that he can understand the organization needed to get to your appointment on time, the research needed to ensure that you come in with your homework done, and how to engage in a conversation that identifies if what you bring to the table is what the company really needs.

In between visits, we’re going to take in the sights in DC with visits to the Capital, White House and Smithsonian. As you may remember, I have applied for the job of Secretary of Common Sense and I have some thoughts I want to pass along to the freshman class of the new Congress. I’m sure they are all anxious to hear from me.

Off to the Capital……..

Maybe I’m old fashioned, but I am very particular about the way people dress and present themselves in business situations. Your “look” communicates a message to your audience that is much more impactful than what you say.

When you meet someone for the first time, consciously or unconsciously you and they are drawing conclusions based on appearance. In fact, research has shown that there is a powerful correlation between first impressions and whether an individual will trust you, like you and be willing to move forward in a relationship. It takes less than 30 seconds for someone to size you up and to decide if they are going to invest in knowing more about you or your business.

Copper Conferencing made a conscious decision to give a number of young people their first job out of college and we consider our company to be an extension of their learning experience. Over the last few months, we have helped our young people attend networking events, manage a live sales call and meet a customer face to face. In order to be ready for life away from behind the computer and phone, we have had to do some “makeovers.”

Makeovers were made easier because of our Copper Apprentice contest where some of the prizes for the winning team were a shopping excursion to purchase a “business outfit.” Stacy London and Clinton Kelly (TLC What Not to Wear) would be proud of our style rules for business:

Men

Always present yourself clean-shaven and with a good haircut. The current style of “stubble” just doesn’t cut it in the business world.

Invest in a nice pair of black shoes that you can wear with a suit or a more casual outfit. Don’t wear the stylish Italian leather shoes that you would wear to a bar. Always wear black socks. Couple that with a nice black belt.

For business casual meetings, wear a black or navy blazer, a dress shirt and a pair of grey slacks. This is a simple outfit that is not controversial and a classic standard. Make sure to have the shirt dry cleaned and pressed.

For other more formal events, a grey, navy or black suit is perfect. Check out Jos A Banks who periodically gives their clothes away and find someone who can co-op with you when you buy one suit at $199 and get another one free.

Women

Your super-long hair from college makes you look 18. If you want to be taken seriously, get a good cut and dial it back on crazy color, especially over-bleached blonde or strong highlights.

For business casual, try a pair of black pants, a tailored shirt and a conservative blazer. Couple that with a pair of low heals.

For a more formal look, lose the pants and add a nice black skirt or black fitted sheath dress. Too short communicates that you don’t take yourself seriously and too long is out of style. Increase the size of the heels and stay conservative – you can’t go wrong with a pump.

Add a touch of color to your outfit in your shirt or top selection

For Both

Purchase a nice leather folder and when you come to a meeting, have your business cards, pen, notepad and any easy to manage marketing materials totally organized.

If you need to bring in a computer, invest in a nice computer bag that also holds your business folder.

Clothes don’t have to cost a fortune and you should consider them an investment in yourself and your career. People will only take you seriously when they see you looking the part. This brings me to what not to wear in the office. If you want to move up and for management to notice you, take what you are wearing seriously. Even when you are behind the phone for the day, consider the statement you make when you wear a t-shirt, shorts and flip-flops. Sometimes casual is too casual.

For any of the managers of other companies who are reading this. Don’t assume that your young employees’ moms and dads taught them any of this. Do a little personal coaching and your young, newly graduated employees will start to adopt a different attitude about themselves and about their work environment.

First impressions are often lasting; so don’t waste your time and your company’s time if you aren’t willing to invest in yourself.

However, in business and in my industry, conferencing, some companies are now resorting to holding customers hostage. I witnessed this first-hand when a company decided to move from InterCall to Copper.

Carolyn Bradfield

Being kidnapped and held against your will has got to be the most frightening and demoralizing event in a lifetime. All of us have seen the three hikers captured in Iran with false accusations of crossing the border, held there indefinitely until there is some political capital to be gained from their release.

In Colombia, the guerilla groups that oppose the government use hostage taking as a means to extort money from the government or private groups. They are willing to keep people chained to trees in the middle of the jungle for years until their demands are met. We often forget just how important freedom is until it is snatched away.

Although these are high-profile events, many of us can become hostages in our daily lives without being a victim of a kidnapping. There are countless women who suffer in abusive relationships, too afraid of the consequences if they leave. What about people who are trapped in jobs because they have to pay the rent and support their family? In effect, these people may suffer some of the same effects of hostages with their freedom and choices being greatly compromised.

We would all agree that any situation that creates a hostage is just not right. However, in business and in my industry, conferencing, some companies are now resorting to holding customers hostage. This happens when the company loses care or empathy for the customer, loses their ability to be competitive and the customer decides to go elsewhere.

I witnessed this first-hand when a company decided to move from InterCall to Copper Conferencing. Over the years, the customer felt that InterCall had become unresponsive, that their customer service had been non-existent and that there were opportunities to improve the level of service they were receiving. They had signed a service agreement (which I never recommend), but had finished their commitment.

They respectfully notified InterCall that they would be moving their traffic and at that point, InterCall decided to take a hostage. They had not invoiced this customer yet for the previous 60 days and told them if they left, they were raising their rate for this unbilled period to $.43 per minute for conferencing. However, if they would sign a new agreement, then they would lower the rate.

Here’s where the hostage part comes in. This rate increase amounted to about $9,000 in added expense. $.43 a minute was the rate that InterCall launched in 1991 when it started the company. It’s so far above and beyond what anyone still charges today, that it boggles the mind.

Don’t be a hostage to InterCall or any other company. Signing an agreement that holds you to a big commitment is bad enough, but the fine print sometimes allows this type of misconduct and you and your company can be held hostage, even when the company is not meeting your expectations.

You might expect hostage taking in a third-world country or in a guerilla organization, but certainly not in corporate America!

Copper Conferencing was lucky enough to be invited by Bart Allin to sponsor the ALA Casino and Golf event the week before Halloween and right in the middle of the World Series with their beloved Texas Rangers struggling to get back on track. Bart brought together his group for one of the most relaxed, crazy and fun events Copper has ever participated in.

Right away, you knew this was going to be different when we were asked to dress in costume as we sponsored Hole 1 on the golf course. Knowing that we would compete with the longest marshmallow-driving contest, Copper decided to step it up and “Gleek out” on our hole. Lauren Brady (from Copper) and I are avid fans of Glee, the hit show on Fox, and we went over the top to have as much fun as we possibly could without getting invited to leave the course.

Lauren strutted her stuff as Quinn Fabre, the head Cheerio on the show and I was a striking Sue Sylvester, the meanest, craziest cheerleading coach and arch enemy of the Glee Club. We blasted music from the Rocky Horror Picture Show episode, created posters of the cast members, gave away Glee buttons and Glee calendars, DVD’s and music prizes in a Trivia contest.

The trivia questions proved tough for some of the golfers. There were some closet “Gleeks” that knew every obscure fact and were obsessed with the series. Others had to be helped along to guess what subject Mr. Shu teaches besides Glee (Spanish) or to identify the father of Quinn’s baby (Puck). Sue Sylvester made sure that none of those golfers cheated on the longest drive or felt secure when they pulled out a three wood instead of their driver. You know “that’s the way Sue “C’s” it!

Just as golf ended, the casino opened up and the gamblers dressed as Crown Royal, baseball players, band supporters, playing cards, pirates and clowns took to the tables. The night was capped with prizes from the tournament with teams bringing home the “dead ass last” half donkey trophy to the longest marshmallow drive to the closest to the pin.

Bart, please invite us next year. And for those of you who are hosting conventions, events and industry meetings, think about moving past those stuffy exhibits where everyone gives away pens, notebooks and sales literature. Have some fun; let your personality show; and get to know people when they are being themselves. Leaders in the ALA told me that it’s all about the relationships and the Dallas Golf-Casino event proves it!

If you haven’t discovered Glee yet, it comes on Tuesday night on Fox. The characters are hysterically funny, the writing is crisp, boundaries are always pushed, the music is amazing and it’s always fun and uplifting to watch. And from Sue Sylvester, “Don’t be a loser Glee Club geek who doesn’t stand a prayer of winning sectionals much less national and not tune in to watch me, Sue Sylvester, or I’ll toss a slushy right in your ugly face!”

For those of you who did not read my previous blog on the Copper Apprentice, Copper Conferencing had two teams of inside sales people who became the ROI Consultants and the Copperheads competing against each other for fabulous cash and prizes and, more importantly, the coveted title of "The Copper Apprentice."

Carolyn Bradfield

For those of you who did not read my previous blog on the Copper Apprentice, Copper Conferencing had two teams of inside sales people who became the ROI Consultants and the Copperheads competing against each other to complete 4 tasks focused on creating a viral marketing video, generating leads and securing sales appointments.

The success of The Copper Apprentice was getting our inside sales people to step outside the bounds of their normal jobs and increase their confidence in themselves by managing projects that they first believed they couldn’t succeed at. We generated more appointments and leads during the Copper Apprentice than any other contest I’ve launched in my sales career.

On the network TV show and in the world of Copper, it all comes down to a final task resulting in one of the contestants being “hired” as the Apprentice. The final task was a very difficult one for an inside sales group – hold a live networking event with a limited budget. The four remaining members in the contest realized right away that they would be stronger together than apart and negotiated to join forces for one networking event and then be judged individually on how they performed on the task.

Ross stepped up as the project manager and had the team attending a number of other local networking events. He formed a relationship with OSBO (The Organization Supporting Business Owners), and learned how networking events are produced from the Executive Director. Jay managed the finances, keeping the team on budget and finding vendors who could produce fliers, etc at the best price. Walter tackled the venue, finding a location that was convenient to the audience and within budget. Brent managed marketing, determining the target audience and getting the word out.

The “Night of Networking” kicked off in Midtown Atlanta with business owners representing 33 companies. A panel discussion highlighted the use of technology in a down economy focusing on how to use conferencing to do more with less budget, increase employee productivity and keep active in the marketplace. Two of Copper’s customers representing health care and financial technology gave insight into their businesses and how their technology is changing the landscape in their respective markets. Overall the night was a big success and got Copper noticed through Facebook, LinkedIn, Twitter and through e-marketing to a large group of companies who now know about Copper and potentially would come to an event like this in the future or even better, buy conferencing from us!

Brent Palmer

Now to the judging. This was a really hard one because according to the team and judges, no one contestant was identified as “the weak link” on the task. The team members tackled their respective tasks, stayed within budget and sought outside help when they didn’t have the expertise. The Night of Networking was well organized, productive, and highlighted Copper’s services. However, every contest must have a winner.

The boardroom meeting allowed everyone to evaluate their own performance, the performance of their team members and to hear the feedback from the celebrity judges. The two words that the contestants wanted to hear were “you’re hired” and those words went to Copperhead, Brent Palmer.

Brent successfully lead his team to the first task victory by producing the best commercial for Copper Conferencing, then was an anchor member on two other tasks setting a record number of sales appointments in Atlanta and Denver. His task on the Night of Networking was one of the hardest. With no marketing background, Brent had to select the target audience, produce promotional literature and get invitations in the hands of over 4,000 people. Brent was competitive, focused and exemplified a key component of Copper’s value system – “The Task is the Boss.”

For his victory, Brent has been named “The Copper Apprentice.” Aside from monetary prizes, he gets to be mentored by other sales people who are more senior on our staff and will also attend our annual strategic planning session where we create our 2011 business plan and budget. It’s an incredible opportunity to learn about the inner workings of a company and how team members collaborate to set direction.

To all the Copperheads and ROI Consultants……..I hope you have learned that you can achieve what you didn’t think was possible, that you can grow in your careers, and that going above and beyond your day to day job is what it takes to be a winner in business. To our “celebrity judges”……thank you for the time you took to observe the tasks, be objective in your analysis and to judge fairly. The contestants never questioned the outcome of any task based on fairness.

And to “The Donald,” although ratings have slipped a little over the years, The Apprentice is still one of my all time favorites. It’s a lesson in strategy, leadership, collaboration, teamwork, relationships and competitiveness. I’m still a huge fan and I think you’ve gained another group of people who will tune in and continue to learn and grow. See you in the boardroom!
