One of my favorite concepts on morning television is the “Just One Thing” segment on Good Morning America. Sam Champion, normally the hunky weather guy, focuses on one small thing you can do to “green” your environment at home. Sam has offered suggestions on changing your cookware strategy, purchasing eco-friendly televisions, solar powered battery chargers and changing your habit of using plastic packaging.

Even though most of us may not consider ourselves as environmentalists, as consumers and business people we need to start thinking about those “just one thing” commitments we can make to cut our consumption of environmental impacting activities. Most of us generally don’t make changes unless there is either a “carrot” or a “stick” that motivates us to do so. It’s generally the “stick” or a significant enough pain point that is the better catalyst for change.

Here is the stick right now. Although there is plenty of oil being produced in the Middle East, there is a significant amount of conflict in oil-producing countries. Egypt changed hands; Libya is in the middle of a civil war and the unrest of suppressed populations has spilled over into countries that had experienced little historic conflict. Oil speculators have driven up the cost of a barrel of oil to sustained, record heights.

How does this affect us? For every penny that the price of a gallon of fuel rises, the airline industry loses $175M a year. How are we all going to feel when gasoline is at $5 a gallon or over or an average airline ticket is over $500? Dependence on oil has become America’s new crack cocaine habit and it’s going to be painful to make some changes. However, I think that the stick is now big enough to make us pay attention.

Here are some “just one thing” ideas that I think we can execute today to help us get “off the crack”:
•	Change the work schedule of your commuters and let them work from home one or more days a week. Monitor their productivity electronically. In today’s world, you don’t have to see someone to know they are working, given all the ways we have to keep track of people.
•	Meet virtually. Do we really need to drive all over town for a meeting that lasts an hour. Web conferencing is easy to use, inexpensive and very effective.
•	Reconsider your travel strategy. Do you really need to drive to the airport, squeeze in that crowded airplane seat and spend that amount of money on hotels, rental cars and meals? Can you use other ways to attend to business virtually and save travel for when it’s really needed?
•	Look around your office and think about what you consume that is oil based. At Copper, we stopped buying bottled water (bottles made of petroleum products) and switched to a water cooler with reusable containers.

Of course, if you want to take it further, there are a number of other things you can do. Here is what I plan to change:
•	I’m purchasing a “street-legal” electric golf cart to run my errands. I figured that quite a few trips are within 5 miles of my house.

Web conferencing has become a widely accepted technology in most businesses yet many law firms find themselves late to introduce web meetings and webinars to their user community. With a wide variety of options available and a user community that can be resistant to adopting new technology, selecting a web conferencing service that is easy to use, affordable and supportable can be a daunting task for many information technology professionals in law firms.

Although it is tempting to compare web conferencing services side by side by looking at available feature sets, there are some key decision filters that will increase the satisfaction level and adoption of web conferencing in the firm.

Get past the firewall

Marketing departments in a firm use web conferencing to highlight the expertise of their attorneys, to offer CLE classes, or to hold virtual events. Any web conferencing service that requires a download to attend the event limits the ability for certain participants to join because of firewall restrictions. Select a web conferencing service where there is no requirement for a participant download to minimize issues joining the web call.

Works with Mac or PC

Although Macs are not the most prevalent technology in firms, many marketing departments use them consistently. Select a service that will work with a Mac or PC to create flexibility so that any call leader or participant can access web conferencing regardless of the operating system.

Integrate with audio

Many audio conferencing vendors integrate with market leading web services versus offering their own in-house web conferencing technology. Web and audio integration allow synchronized meetings and recordings and web conferencing help if the user selects *0 on the audio conference call. Web and audio integration offers the user a seamless conferencing experience.

Avoid feature creep

Survey web conferencing users and you will find that the vast majority of them use only a few features, especially for meetings, status conferences or document collaboration. Web conferencing can become quite complex and expensive if you purchase a service for the most sophisticated of your user community. Consider getting the standard version of a service for most of your meeting users and the event or professional version for those key users who will host events vs. meetings.

Offer multiple layers of support

Support for web conferencing should be a key consideration and should go well beyond the firm’s IT department. If web conferencing is purchased from an audio conferencing provider, users generally have access to multiple levels of support. The audio vendor will offer training on the service as well as help while on the audio conference call. Additionally, the major players such as Adobe, WebEx and Microsoft offer 24 X 7 online and live support at no additional charge.

Pricing Flexibility

Do not purchase any service unless you are allowed at least 30 days to “test drive” it. Consider services that offer both per minute pricing along with a subscription for unlimited usage. You can mix both pricing models within the firm avoiding an annual commitment until you have an established pattern of usage.

Web conferencing allow users to collaborate on documents, share information, execute depositions, train remote office personnel and promote the firm. Unlike most video conferencing solutions, web calls are executed right from the desktop on a PC or Mac at a fraction of the cost. Considering participant access, ease of use, support and flexibility will help ease the firm’s user community into a comfort level that can make the web conferencing experience an integral part of the firm’s communication strategy.

The study of history has always been a fascination. The History Channel and PBS rank pretty high on my TV list, especially during the summer when all my other mindless TV shows are on hiatus. One of my interests has been with the creation, the rise and the fall of empires throughout the ages.

Empires such as Rome, Great Britain, Germany seem to have some characteristics in common that make them look powerful and mighty to the outside world, but make them flawed from within, ultimately leading to their downfall. Here are some common themes that I see in the study of the history of empires.

It’s never enough.
Empires always capture territory, conquer lands and dominate the population. They extend their borders across continents and oceans in their quest to be the dominant power in the world. After the glory of their victory has worn off, Empires have to manage, administer and control what they’ve conquered. The larger they get, the more unwieldy the Empire becomes.

It’s my way or the highway.
Empires usually feel the need to rule by fear and intimidation. The conquering empire views the people in their territories as those to be controlled, subjugated and used. After all, conquest was expensive and an empire takes money to run. It’s always up to the minions in the empire to work hard, produce for the empire and expect little for themselves. Suppressed people become unhappy people creating disorder and dysfunction within the empire.

You must be like me.
When Great Britain used its mighty navy to sail around the world and conquer foreign lands such as India and the Far East, they encountered different cultures, religions and languages. Rather than learn from these differences, they were motivated to remove as many of the culture differences as possible leaving the people to wear English coats and top hats, have afternoon tea and worship in the Anglican Church. So much effort was expended in changing what was unique and culturally ingrained that little benefit was derived from the conquest.

History shows us that most empires become unwieldy, difficult to manage, expensive to maintain, hard to control and most of them crumble. Just look at Russia, Rome, Great Britain, Nazi Germany, Alexandria…..on and on. In fact, what empire do you know that has grown by conquest is still in existence?

The study of historical empires has relevance in the corporate world as we look at the big guys who seek to dominate their markets and snap up smaller companies suppressing what was unique and special about them. Corporations can become too large, too unwieldy and too inefficient to manage. Take Bank of America or General Motors as great examples. These billion dollar organizations can breed a culture of dysfunction, treat their employees like minions expecting them to give it all to the corporation and expect little in return. They can treat the customer of the conquered company as a second-class citizen.

The conferencing industry is a great example of where empire building has created bigger companies, not necessarily better companies. At over $1 billion in revenue, InterCall has grown primarily through acquisition, yet it has created a company that has a hard time absorbing its acquisitions, managing its technology, servicing its customers and keeping itself relevant to those customers and employees that may have been much happier in a different cultural environment.

Companies (and empires) rise when they seek to expand beyond their ability to grow organically and they fall when they function like the empires of history. Suppression and intimidation are never sustainable ways to rule an empire. And don’t think for a minute that those who don’t belong to the empire quake in fear when we see you marching through the marketplace, trying to intimidate or conquer. For every Goliath, there is a David. For every Redcoat, there is a Patriot. For every Storm Trooper, there is an Ewok. For every Colonel Quaritch, there is an Avatar.

For customers who are trying to decide if bigger is really better, think about how the company got big. If they did so through conquests (acquisitions), then you have to ask yourself if they are functioning like a company or like an empire. And you have to question if you are valued as a customer or treated like a minion. Or are you better off with someone who is smaller, more flexible, more efficient and more appreciative of your business? After all, empires can rise, but most of them also fall.

The older you get, the more nostalgic you get. Normally, I’m not given to looking back, but sometimes I just can’t help it. This summer, my small high school in LaGrange, Georgia is holding a multi-year class reunion. It’s been a while since I’ve been to one of these, but this one is appealing because I get to visit with more people I went to school with.

This is going to tell you how old I am and how much of a small Southern town I come from. We had one movie theater, one hamburger place and one pizza place. You couldn’t buy alcohol because the county was dry and our schools weren’t integrated until I was a junior in high school. The big activities were driving around (gas cost $.25 a gallon), going to the movies once a week, and “parking.” (Don’t ask me about parking!).

Those were simple times where we had to make our own fun, find things to keep us engaged and navigate through some profound changes in society. During high school, I saw the end of the Vietnam War, the end of school segregation and the beginning of the drug culture. Times will never be as simple, as clear and as innocent as they were back then.

I’ve been in the conferencing industry for 20 years and I have to acknowledge the end of an era for a technology and a company I was very fond of. A small group of entrepreneurs founded a company in the ‘90’s called Evoke that built the best mousetrap I’ve ever seen in conferencing. They automated an audio conference call where you never had to worry about making a reservation or that there wouldn’t be space available for your call. They added a simple web interface to control your call that was a forerunner of the way we all use web conferencing today.

The founders (Paul and Todd) always saw themselves as a web conferencing company, raised millions of dollars in the investment world and launched a competitive strike against the incumbent WebEx. What they failed to realize is that in reality they had built a better mousetrap for audio conferencing by streamlining how a call was managed and conducted. Their technology was way ahead of its time and the rest of the industry followed their lead.

WebEx proved to be the giant in the web conferencing industry, and Evoke who became Raindance, never gained enough traction to be huge and make their investors rich. In 2006, the management team at Raindance finally gave up and sold to their company to industry giant InterCall.

Sometimes, as in this case, the bigger company fails to recognize that what they bought extends beyond the revenue and profits. Raindance had an incredible corporate culture, young and talented employees, an advanced technology and data system, a well-developed web product, and loyal customers. InterCall, in their infinite wisdom, decided to dismantle all of it.

On September 1, 2010, the audio conferencing technology that was simple to use, always reliable and so advanced is being turned off. Because InterCall never recognized its uniqueness, its potential and its possibilities, they ignored it, favoring a system that is more complex with lots of moving parts. They spent tens of millions of dollars trying to customize a data collection and billing system when the one they purchased had much of the components of what they needed.

There are still a number of customers that use the Raindance platform and they are going to be in for a shock to their system. Everything about their conferencing experience is going to change and not necessarily for the better.

It’s the end of an era in the conferencing industry and I’m sad about that. I think the customers are going to find that being given lots of billing choices, more features than they will ever use, and a system that is not nearly as streamlined and elegant is going to be a step down in the way they do business.

Paul and Todd, thank you for what you brought to the industry, to the type of company you created and the culture that you promoted. Thank you for thinking outside the box and creating a better way to do business.

Local Dial-In Helps Reduce the Cost of Conference Calls

Denver, CO and Atlanta, GA — March 31, 2010 — Copper Conferencing today announced the launch of nationwide local dial-in connections to its On Demand reservationless audio conferencing service. Local dial-in numbers are available in over 100 major cities in the U.S. offering customers a way to connect conference calls at a reduced cost.

“Copper has always been committed to finding ways for its customers to reduce the overall cost of a conference call,” said Carolyn Bradfield, CEO of Copper Conferencing. “Providing local dial-in numbers in addition to toll-free access allows customers to choose how they enter an On Demand audio conference call and enables the customer to control the cost of their conference calls each time they use a local dial-in number.”

An analysis of the thousands of Copper Conferencing customers revealed individuals participating in conference calls generally start or dial in to phone meetings from an office location with 70% of call leaders initiating their conference calls from the same location every time. This study, along with an analysis of the top business markets in the United States, lead Copper to secure local access numbers in 100 key metropolitan areas.

“A customer has a number of ways to determine if his or her city has a local access number,” Bradfield added. “The customer can enter an area code or zip code in the Local Dial-In Locator on the Copper website and the application will identify the local number for that area. If no local number is available, the customer can always use their Copper toll-free access number.”

The announcement of local dial-in services complements Copper Conferencing’s recent upgrades to its On Demand audio conferencing service including additional call controls, new security features, sub-conferencing capabilities and the ability to add personalized greetings to each call as well as the addition of listen and recording download access to conference call recordings via Connect To Copper™, Copper’s powerful online customer portal. In February, Copper Conferencing expanded its web conferencing offering with industry-leading web conferencing services Adobe Connect Pro, Microsoft Live Meeting and Cisco WebEx, all of which are integrated with Copper’s On Demand audio conferencing.

It’s a fact that most people don’t like change. In fact, they will go out of their way to stick to their routines, watch the same TV shows, do their jobs the same way….it goes on and on. In business, resistance to change can be deadly. It stifles growth, prevents employees from progressing and contributing, and makes a business far less competitive. Based on the pace of innovation, technology and new ways to approach things, businesses and people must get used to change or they will be left behind.

People don’t understand the change needed.

Because of the pace at which we live our lives, we don’t often give ourselves the luxury of standing back from our day-to-day routine to look around us and then objectively look at ourselves. In order to start any change process, you must have perspective on the fact that a change is needed.

People fear the change.

If change is eminent, it tends to freak people out. A new boss, new compensation plan, or new product create the immediate feeling that this can’t be good. The self-preservation instinct can cause people to focus inwardly and close their mind to the upside of the change.

People don’t understand how to make the change.

Most people work better if there is a plan and process that they understand and can relate to. Change often comes with a lot of unknowns. If you want a sales person to quit underperforming and hit their quota, sometimes they may just not know the steps required. Once people accept the fact that change is needed, there is another part of the process – how to do it.

In the world of conference calling, things change all the time and companies, along with its people, have to keep pace. At Copper Conferencing, we lead people to change and make the process less scary.

At Copper, I constantly stand back from the business, look at the marketplace, know my competition, look at technology, talk to the customer and think ahead. I set aside time to have strategy meetings with our team so that they can do the same thing. When people have an open forum to evaluate the business and generate ideas, they will often come up with the changes that the business needs to grow and thrive.

Make change part of the culture

If change never happens, then people get complacent and imbedded in routines. It makes it way more difficult for change to happen if the company has no appetite for change and the culture doesn’t support it. Change doesn’t have to be dramatic, but it’s up to a company to create the culture where new ideas are accepted and tried.

What came first, the chicken or the egg? This causality dilemma helps us to understand the complexity of the question, “Does sales or marketing drive a company’s success?” In order to analyze a query such as this, we must first identify what each of the two categories brings to the equation, and then we can identify how to make a personal marketing plan in order to generate sales.

Seemingly a company could thrive with a focus on either marketing or sales and be successful. Marketing could bring clients in through proper advertising and a well planned strategy, and a sales team would not be necessary. Conversely, it seems sales would not need marketing either, by simply providing their own leads and bringing in their own clientele through research and hard work. In theory they are individually functioning divisions that can operate independent of one another, but in reality, the two are very necessary and must work together

When you think of sales, you typically think of overwhelming salespeople pushing a product that customers may or may not want. While this is true, sales has a very important purpose in all organizations. They execute the efforts of the marketing team and put it into action. The sales department in an organization can best be described as a special operations team in the military, and the marketing department is their Intel. Military Intelligence gathers all the information necessary for a mission and then distributes their findings for the Special Ops Team to execute.

Similarly, when you think of marketing, you think of massive amounts of e-mails piling in your inbox with special offers. While this may be true, marketing is crucial in providing leads, and getting a brand name recognized. They handle the leg work for the sales team, so the sales team can focus on closing business and getting potential prospects to use a product or service. Without the advertisements, e-mails, and various marketing plans though, a company would be relatively unknown.

At Copper Conferencing, an audio and web conferencing provider, marketing and sales work together harmoniously in order to achieve similar goals. The Sales Director and Marketing Director ensure that they are not only on the same page with current marketing campaigns, but also, that they are focusing their efforts and teams to maximize their return on investment. Audio conferencing and web conferencing is an industry where most companies are realizing the services incredible benefits. By reducing costs and travel expenses, conferencing is changing the way companies operate and do business. Through expertly managed marketing and sales strategies, Copper Conferencing is quickly proving that a perfect balance of the two departments is a key to success.

Now that we see that sales and marketing are uniquely individual, yet very complimentary of one another, we can see how using a successful marketing plan in conjunction with a well executed sales team can generate new business. Copper Conferencing is a perfect example of this through a recent campaign. Copper is running a Business Webinar Series allowing speakers across the country to show their expertise to an array of business professionals. This shows our conferencing services to potential clients around the nation, and at the same time, generates leads for the sales team to follow up with. Remember, a subtle alliance between two divisions can bring powerful returns in the business world.
